Inventory
An inventory form is issued on arrival for the resident to complete, sign and return to the Bursar’s Office. Any problems recorded on the form will be followed up. The inventory must be returned without delay as any damage not reported on arrival will be considered the responsibility of the resident, who will then be expected to pay for it. Continued failure to return the inventory form may result in a fine.


Single Study Bedrooms
All loss, damage or dilapidation to a room that goes beyond fair wear and tear will be charged against the resident’s deposit. No furniture or fittings may be brought into rooms from outside or from other areas of the Hall and nothing must be removed from the rooms.

Residents must not hang washing in their room or from the window, or place it on the radiators to dry. No items may be placed on the outside window ledge. Nets and curtains may not be removed.

Posters, maps, etc, must not be put up on walls. Rooms are equipped with large notice boards instead. If any marks are left on walls the resident may be charged the cost of repainting them.

No cookers of any description may be brought into bedrooms, and no fridges, unless authorised by the Bursar on medical grounds. Any food must be stored in suitable containers, not kept loose. Food must not be stored on window ledges. Candles, incense sticks or burners and similar items are expressly forbidden and will be confiscated without warning.


Flats and Studios

Windows
The windows through the North Wing, West Wing and Central Wing are double glazed, sophisticated and expensive. For daily use they are designed to tilt open by a few inches, but their mechanism allows full opening for occasional cleaning. Under no circumstances whatsoever will residents be allowed to have the windows fully open. Any tampering with the mechanism will result in full damages being charged and, as they are so complicated, this can be very expensive


Care of Hall
International Hall completed a major redevelopment and refurbishment project in January 2004. Residents are expected to leave rooms and public areas in the same condition as when they moved in. Any damages will be fully charged for. If public areas are left in an unacceptably dirty or untidy state, they may be closed until a full clean can be arranged. This would be charged against the residents’ deposits. If this occurs regularly, the area may be closed permanently.


Posters
Residents wishing to place notices in the Hall should obtain permission from the Warden or Bursar. Posters and notices belonging to residents may only be placed on general notice boards and must not obstruct official Hall information bulletins. Unauthorized notices, or those placed on doors, walls or windows will be removed. Any damage will be charged and the resident responsible may also be fined. No stickers or notices, etc, may be displayed on the outside of the building, or on windows.


Damages and Vandalism
Where genuinely accidental damage has been properly reported to the Bursar’s Office, charges for repair or replacement will be reviewed on the merits of each case. However, where damage has been caused by negligence, unreasonable behaviour or deliberate vandalism, those responsible will be charged the full cost of repair/replacement, labour and administration charges. Where individual responsibility cannot be established, the costs will be shared between all residents. All residents are therefore strongly urged to notify Hall staff if they know of anyone causing damage.

Deliberate vandalism is a serious offence against all other residents, staff and the University and anyone causing wanton damage will be pursued rigorously, with the help of the local police if necessary. Residents found responsible for causing deliberate damage will be dealt with severely and may be required to leave Hall.


Reporting Faults
Any defects in rooms or public areas should be reported in the log book at reception. Residents should report anything that they consider to be a defect or, particularly, a safety hazard, and not assume that someone else will have done so. Non-urgent repairs will normally be undertaken within 2 days. The reason for any delay will be recorded in the log book for residents’ reference. Urgent problems will be dealt with immediately or as soon as a contractor can reach the building, if outside normal hours. If matters are not satisfactorily dealt with, residents are asked to report them directly to the Bursar’s Office via reception.


Electrical testing
It is a legal requirement that all electrical equipment owned by the Hall is checked on an annual basis. This will include desk lamps, etc, in rooms and all appliances in flats.
