Regulations
The terms of the Agreement to occupy Hall accommodation are contained in the document University of London, Intercollegiate Halls of Residence Regulations and supplemented the Residents’ Handbook. The Hall will strictly adhere to these terms and conditions, so all residents should ensure that they remain familiar with them.


Period of Agreement
The period of residence is as stated on the offer letter: from the day before start of the first term, to the day after the end of the third term. No credit will be given for late arrival, early departure or absences from Hall (though a meal rebate is available in the under certain circumstances).

The dates of residence and payment schedule for each resident are clearly indicated on the invoice, sent out soon after arrival. Residents must check this information and notify the Bursar’s Office of any discrepancies within 21 days of arrival. Late requests for alterations may not be considered. Non-receipt of an invoice will not be accepted as a reason for delay. Residents must ensure that they do receive their invoice. The fees and dates thereon will apply unless the Bursar’s Office sends written confirmation of an agreed variation.

Any resident who ceases to be a full-time University of London (www.london.ac.uk/) student will no longer be eligible for accommodation. In such a case, the Warden must be notified immediately and plans made to leave Hall as soon as practicable.


Arrival
On arrival, students should register at reception and collect their flat key and Hall card. Students will be deemed to be in residence once they have signed in and collected their key.


Absence from Hall
If residents are to be away from Hall for more than the occasional weekend, they should notify a Senior Member or the Bursar’s Office. A contact address or telephone number should be left for prolonged absence. Without this information, Hall staff will be obliged to start an investigation into the absence, which may include contacting next of kin, the college or the police.


Final Departure
On their final departure, residents must leave a stamped, self-addressed envelope for the return of their deposit. Alternatively, deposits will be available for collection approximately three weeks after departure, but it is advisable to telephone first before making a special journey.

Deposits will be refunded by sterling cheque only. An administration charge will be made for any cheques that are not banked within six months and which therefore need to be cancelled and reissued.


Termination of Agreement

Breach of Agreement
Residents are in breach of their Agreement if they fail to give notice as above. They will then be liable for the rent of the room until the end of the contract or until a new occupant can be found. If residents do wish to leave under these conditions, the following procedure will apply:
  • The resident must write to the Bursar’s Office giving details of their reason for leaving and a confirmed date of departure
  • A letter will be sent back detailing the Hall’s conditions. This includes a reply slip which must be completed and returned, stating acceptance of the conditions and re-confirming the departure date
  • Once the resident has departed, the Hall will attempt to find a replacement. The original resident will remain liable for the accommodation fees until the new occupant moves in or until the end of the period of Agreement
  • An administration charge will be made against the deposit to cover the cost of finding a replacement resident
  • It is not possible for the out-going resident to remain in Hall whilst we search for a new occupant. The room must be available to prospective residents

Re-admission for a Second Year
Due to pressure of demand, there are very limited spaces for re-applicants. The procedure for re-applying will be advertised in the second term. Re-admitted residents may be required to act as fire marshals, attending training sessions and assisting with fire drills as required.


Smoking
Smoking is not permitted anywhere in the Hall, including the two courtyards and the front step. Residents found smoking on the premises face a formal warning and a disciplinary fine of £25. Repeated breaches of this rule are likely to result in expulsion from the Hall.
