The Bursar’s Office
The Bursar has overall management responsibility for the Hall. The Bursar’s office deals with fee collection, all room bookings, catering, housekeeping and maintenance. All staff can be contacted through reception. Office opening hours are normally from 8:00 am to 6:00 pm, Monday to Friday.


Invoices
One invoice for the full period of the contract will be sent out within seven days of arrival. If residents do not receive it, they must chase it up, as non-receipt is not accepted as an excuse for non-payment. The invoice should be checked for accuracy and retained safely for future reference. It will give the dates for monthly fee payments. If someone else is due to pay their Hall fees (e.g. a funding body), it is the resident’s responsibility to forward the invoice to them and ensure that payment is received by the Hall.



Payment
Fees are payable in instalments, normally termly in advance. Payment should be made at Reception by cash, cheque, bank draft, debit or credit card (the Hall cannot accept Euro-cheques). All cheques should be made payable to “University of London” and have the resident’s name and room number clearly written on the back.



Delayed Payment and Debt
Any resident experiencing or anticipating problems with payment must contact the Bursar’s Office to discuss the situation. If this is not done and the Bursar’s Office has to send out a payment reminder letter, an administrative charge will automatically be applied. Dishonoured cheques will also incur administration charges. These will not be retrospectively removed, whatever the circumstances.

The Bursar’s Office is sympathetic to students with genuine difficulties. However, students who do not keep the Deputy Bursar informed of what progress they are making towards payment, or who fail to make agreed payments, will be pursued rigorously. If necessary, the Hall will inform the student’s college of the situation and ask them to withhold exam results and entry into the next year of study. Any funding body may be approached and, as a final resort, the University’s solicitors will be asked to pursue the debt through the courts. All legal fees will be recharged to the resident and interest will be charged on late payments.



Registration Fee and Deposit
The registration fee paid on application is not refundable. The deposit is held by the University as security against residents meeting their obligations under the Agreement. Residents will be notified of any charges made against the deposit and they will then be required to make it up to the original balance without delay. At the end of the Agreement, the University will refund the deposit as quickly as possible, after making any deductions for outstanding debts (e.g. damages). However, it is never permitted for residents to offset their deposit against any outstanding Hall fees.
